Company Overview:

Since 1972, Fritz-Alder Precast has been producing and installing precast concrete products, leading the way through innovation. As our company continues to grow, we are seeking a Dispatch Assistant to assist with administrative logistics tasks, supporting the Senior Dispatcher in truckload planning, scheduling, and documentation.

Position Overview:

The Dispatch Assistant will primarily provide administrative support to the Senior Dispatcher, assisting with documentation, scheduling updates, and data entry. This position involves interaction with drivers, internal teams, and external contractors as required. The role focuses on record-keeping, tracking updates, and ensuring smooth logistics processes.

Key Responsibilities:

  • Administrative Support: Assist the Senior Dispatcher with paperwork, record-keeping, and organizing shipping documents.
  • Load Planning Assistance: Help document and update load assignments, ensuring accurate data entry for scheduling.
  • Schedule Management: Update dispatch schedules, maintain logs, and input delivery information into tracking systems.
  • Documentation Handling: Prepare and verify Bills of Lading (BOL), driver logs, and shipment records for accuracy and compliance.
  • Data Entry & Reporting: Input and update transportation data in spreadsheets and dispatch software, ensuring accurate records.
  • Internal Coordination: Communicate updates to the Senior Dispatcher regarding deliveries, delays, and scheduling changes.
  • External Interaction: Direct communication with drivers or contractors when the Senior Dispatcher is unavailable or it is assigned.
  • Compliance Support: Assist in maintaining records for transportation safety regulations and company policies.
  • General Office Tasks: Support filing, report preparation, and email correspondence related to dispatching.

Qualifications:

  • 1+ years of administrative experience (preferably in logistics, dispatching, or transportation).
  • Strong attention to detail and organizational skills to maintain accurate records.
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with dispatch or logistics software is an asset.
  • Ability to work independently on administrative tasks and support logistics operations from an office environment.
  • Strong data entry skills and ability to manage documentation efficiently.

Schedule:

  • Monday to Friday
  • Weekend availability only as required
